What This Notice Covers
This notice applies when you use our website, join our updates list, make an enquiry, book or attend an activity, visit Foundry Padel Club, use guest Wi-Fi, attend an event, or contact us.
It covers padel, reformer Pilates, golf simulator sessions, coaching, groups and events, Foundry Cafe & Bar visits, rehab and treatment enquiries, and general Club enquiries.
Information We Collect
We may collect your name, contact details, enquiry details, marketing preferences, booking information, payment information, attendance details, feedback, access needs, incident information and CCTV images.
For juniors, schools or group visits, we may also collect parent, guardian, school, organiser or emergency contact details where needed.
If you choose to share health, injury, access or treatment-related information, we will treat it with extra care and only use it where needed to support safe participation, manage access, respond to an incident, or provide the service you have asked for.
Where Information Comes From
Most information is collected directly from you. For school visits, junior activities, group bookings or events, information may also be provided by a parent, guardian, school, organiser, coach or event contact.
How We Use Your Information
We use personal information to respond to enquiries, manage updates and marketing preferences, handle bookings and payments, provide Club services, support access and safeguarding, manage incidents or complaints, operate CCTV and site security, provide guest Wi-Fi, improve our services, and meet legal, accounting and regulatory obligations.
Booking Systems And Payments
Foundry Padel Club uses different booking systems for different activities. Padel bookings are managed through Playtomic, reformer Pilates bookings through TeamUp, and golf simulator bookings through TrackMan.
Payments through these systems are processed using Stripe. Foundry Cafe & Bar card payments are processed using Adyen. These providers may process information under their own privacy notices. Foundry Padel Club does not store full card details.
HubSpot And Marketing
We use HubSpot to manage website enquiries, opening updates and marketing communications.
If you join our updates list, we will use your details to send relevant news about Foundry Padel Club, including opening information, booking updates, activities, events and Club news. You can unsubscribe or change your preferences at any time using the link in our emails or by contacting us.
We do not sell your personal information.
Groups, Events, Schools And Juniors
If you enquire about a group booking, corporate event, school session or junior activity, we may use your information to plan the session, discuss requirements, manage safeguarding and access needs, and communicate with organisers, parents, guardians or schools.
Where safeguarding information is involved, we will handle it carefully and only share it where necessary and appropriate.
Rehab And Treatment Services
The Biomechanics Collective operates at Foundry Padel Club under a licence agreement as an independent treatment provider.
If you book or receive treatment from The Biomechanics Collective, it is responsible for its own treatment and health records. You should read its own privacy notice. Foundry Padel Club may process limited information where needed to handle enquiries, appointments, access arrangements or site administration.
CCTV
CCTV is used at Foundry Padel Club for safety, security, crime prevention and incident management.
CCTV is used in selected internal and external public areas, including entrances and any outside customer areas. It is not used in private areas such as toilets, showers or changing areas. Signs will be displayed at the Club to let visitors know CCTV is in operation.
CCTV operates while the premises licence is in operation or while customers remain on the premises. CCTV footage is stored for a minimum of 31 days, in line with premises licence requirements. It may be kept for longer where needed because of an incident, investigation, insurance matter, legal requirement or request from the police or another authorised body.
Guest Wi-Fi
Guest Wi-Fi is available at Foundry Padel Club. When you use it, technical information such as device identifiers, connection times and usage data may be processed to provide the service, manage security and comply with legal requirements.
Cookies And Website Tracking
Our website may use cookies and similar technologies to make the site work, understand how visitors use it, support enquiries and improve marketing.
Essential cookies are needed for the website to function. Non-essential cookies, such as analytics or marketing cookies, will only be used where required consent has been given.

Lawful Bases

How Long We Keep Information
We keep personal information only for as long as needed for the reason it was collected.
Booking, payment and accounting records may be kept for up to six years where required for tax, accounting or legal purposes. Marketing information is kept until you unsubscribe or ask us to stop contacting you. CCTV footage is stored for a minimum of 31 days and may be kept longer where required. Wi-Fi, incident and safeguarding records are kept according to the purpose, risk and any legal, safety or insurance requirement.
Who We Share Information With
We may share personal information with trusted suppliers and partners who help us operate Foundry Padel Club, including booking platforms, payment providers, website providers, HubSpot, IT and Wi-Fi providers, security providers, insurers, professional advisers and event partners.
We may also share information with The Biomechanics Collective where needed for treatment enquiries or appointments, and with schools, parents, guardians, safeguarding bodies, emergency services or public authorities where appropriate.
International Transfers
Some of our systems and service providers may process information outside the UK. Where this happens, we expect appropriate safeguards to be in place to protect personal information.
Your Rights
You have rights over your personal information. These may include the right to access, correct, delete, restrict or object to how we use your information. You may also have the right to data portability and the right to withdraw consent where we rely on consent.
You have the right to object to some uses of your personal information, including direct marketing.
